THE OPPORTUNITY

We are seeking a dedicated administrative professional for the role of Clerkship Site Coordinator of the MD program within the College of Health Sciences (CHS) to provide logistical and administrative support of VinUni clinical clerkships at their teaching hospital for our undergraduate medical program.

The incumbent will act as a liaison between the clerkship coordinator(s), site director, teaching hospital educational leaders, clinical teaching faculty, CHS MD Clerkship Directors, and the Year 4 Chair to carry out a range of day-to-day issues related to the implementation of MD program clerkships at their teaching hospital.  This role will report directly to the Year 4 chair and is expected to be 1 FTE.

KEY RESPONSIBILITIES

  • Manage all administrative aspects of the VinUni MD student clerkships at your affiliated hospital, in collaboration with the site director, clerkship directors, Year 4 chair, clerkship coordinator, and other VinUni CHS personnel and staff.
  • Work with other clerkship coordinator(s), site director, Year 4 chair and clerkship directors to facilitate and solve issues related to VinUni students at your hospital in a timely manner.
  • Work with the clerkship coordinator(s), clerkship directors, and site director to ensure smooth transitions for MD students into their rotation.
  • Schedule and supervise orientations for students at the beginning of each rotation, assist in preparing summary evaluations of students’ performance, and assist to identify students who are performing below competency.
  • Relay hospital attending physicians and residents (if any) on policy compliance regarding methods and procedures for student’s clinical responsibilities.
  • Prepare reports for curriculum committees.
  • Triage, address, and communicate all problems relating to clerkship operations at your hospital.
  • Manage the clerkship block calendar for your hospital; work closely with faculty and residency program directors for coordination of lectures, dates and times.
  • Monitor and optimize the overall quality of the rotations in your hospital, including educational experiences, accommodations such as call rooms (if any) and teaching facilities, and the learning environment.
  • Work with the clerkship coordinator(s) to ensure student objectives and policies (e.g., best practices, work hours, student schedules) are distributed monthly and in advance, to supervising physicians.
  • Communicate with students, teams, and central administration to develop and implement appropriate accommodations for an equitable learning experience.
  • Work with clerkship coordinator(s) and site director to ensure students have access to the EMR and receive adequate physical access to the facilities.
  • Work with the One45 administrator to ensure all student evaluations are posted to One45. Monitor completion of faculty evaluations in a timely manner; send emails to faculty with outstanding evaluations.
  • Compile student performance summary evaluations for site director and clerkship directors.
  • Manage relevant educational materials on Canvas.
  • Manage students required documentation, vaccination requirements, due dates and compliance.
  • Manage and proctor, if needed, the shelf exam(s) for students.
  • Serve on various committees representing your affiliated hospital, including monthly Clerkship Coordinators meetings, Site Directors meeting and other committee meetings as requested.
  • Receive and act on informal feedback from teaching faculty and students.
  • Participate in an annual clerkships review and presentation to the MD Program community and greater CHS community.
  • When requested, assist with annual budgeting work that is relevant to the clerkships.
  • Other duties directly related to your affiliated hospital as requested by the site director.

KEY SELECTION CRITERIA

  • Requires a bachelor’s degree and at least 2 years of experience.
  • Excellent organizational skills, with experience prioritizing work in a fast-paced environment with multiple and conflicting interests.
  • Strong interpersonal, analytical, and communication skills. Have the ability to multitask and prioritize.
  • Interpersonal skills to effectively communicate with medical students, faculty, residents, staff, and the medical school administration.
  • Problem-solving, conflict-resolution, and decision-making skills.
  • Excellent written and verbal communication skills.
  • Ability to work with spreadsheets, learning management software, powerpoint.
  • Time management and organizational skills
  • Demonstrated ability to work under pressure, understands and follows policies and procedures, and accommodates change. Proven ability to work independently as well as collaboratively on a team.
  • The position requires good judgment, rigorous attention to detail and the ability to handle sensitive/confidential information with discretion.

ENGLISH PROFICIENCY

English is the language of teaching and communication at VinUniversity. For this role, the candidate needs to have an excellent written and verbal communication skill in English.
