ABOUT THE POSITION

The Accreditation and Quality Assurance Unit (AQA) is a member of Center for Educational Excellence. The Unit is responsible for leading ranking, ratings and accreditation projects at university level, while ensuring the academic compliance and quality assurance of the university through developing QA strategy, and related policies and guidelines.

The Accreditation and Quality Assurance Officer will be responsible for managing all aspects of the accreditation projects including developing action plan (timeline, activities, resources, and deliverables), liaising with relevant stakeholders to collect data and complete the self-assessment report, coordinating site visits of accreditation bodies and follow up actions. Besides that, this individual will be participating in developing QA strategy, regulations and guidelines to enhance the teaching quality of the University. Annually, this individual will develop academic compliance audit and conduct audit projects when approved. In addition, this individual will champion for enhancing quality culture of the University through training activities, sharing sessions, and newsletters design. The individual must be able to work under their own direction, calling on support, when necessary, but taking the initiative and leading the process to a successful conclusion.

The Accreditation Officer will report to Accreditation Manager.

KEY ACCOUNTABILITIES

Ranking and Accreditation Exercises

  • Study ranking, rating methodology, and quality standards for institutional and programmatic accreditations.
  • Participate in developing action plans for ranking and accreditation projects. Coordinate activities to make progress against the action plans until successful completion.
  • Organize data collection from stakeholders. Ensure that all information provided by colleges and departments is appropriately sourced, backed by documented evidence, and validated.
  • Analyze the fact and data to develop self-assessment report against quality standards.
  • Finalize document, prepare reports and documents for review and obtain approval. Ensure full documents are submitted to accreditation bodies in time.
  • Coordinate the training and dissemination activities to relevant stakeholders to make them well-prepared for the accreditation process, interview sessions with the accreditors.
  • Organize the site visit of the accreditors, including visit date, logistics (flights, accommodation, meals, transportation, etc.), coordinate working sessions during the visit in a well-organized and professional manner, maintain minutes and notes from accreditation meetings; collaborate with marketing and other teams to implement internal and external communication about the site-visit.
  • Develop and record all follow-up actions after the accreditation exercise.
  • Confirm timeline for reaccreditation/audit exercises to keep senior colleagues on track to meet the deadlines
  • Ensure that required memberships and registrations are up to date.

Quality Assurance Exercises

  • Develop annual QA action plan to fit with the quality assurance strategy of the University in each period.
  • Develop QA procedures and SOPs regarding program management and monitoring as well as moderate its implementation at university and college/ program level.
  • Coordinate the master plan and follow up actions for end-of-course evaluation surveys as a part of Center for Educational Excellence.

Academic Compliance Audit

  • Develop an annual audit plan for academic compliance in accordance with national regulatory framework and the University’s regulations.
  • Implement audit exercises in accordance with the approved annual audit plan and academic audit procedures at VinUni.
  • Propose and agree with the stakeholders the “close the loop” and follow up actions to make sure the audit exercises support legal compliance and quality enhancement.

Quality Culture Enhancement

  • Build up the QA partners at colleges and department and coordinate the activities for those individuals to enhance knowledge in QA system and instruments.
  • Promote a culture of quality and continuous improvement through good practice studies, guidelines, focus group discussions, conferences and workshops.
  • Develop communication channels such as SharePoint and newsletters to share information related to QA projects and stories.
  • Provide consulting services for programs regarding the program monitoring and program accreditation, if any.

Others

  • Collect and manage institutional data to service for MOET quality information system and reporting for local authorities.
  • Manage the budget and coordinate expenses related to QA and accreditation activities.

KEY SELECTION CRITERIA

  • At least Bachelor’s Degree is required. Preferably master’s degree and being educated or having experience working in the field of higher education.
  • Have good analytical thinking with system mindset. Be able to do research and benchmarking is preferable.
  • Good communication skills in Vietnamese and English languages, especially for academic writing and delivering presentations to senior staff.
  • Project management experience, including coordinating complex projects, document management, resource and budget planning, action plan development.
  • Event management experience.
  • Being resilient and adaptable. Ability to work under tight deadlines and to meet high professional standards in all aspects of the work: communication, document writing, accuracy and completeness of data, responsiveness and collaboration, issue resolution, etc.
  • Demonstrated problem solving skills, excellent information literacy skills (research information, curate it and present it to inform management decisions).
  • Proficient in MS Word, Excel, and PPT. Must be capable of developing high quality, engaging presentations and professionally formatted documents for internal and external communication.
