[Job opportunity] Administration and Finance Support Officer

Role Overview

VinUniversity’s Research Management Office (RMO) is seeking a highly organized, detail-oriented, dedicated and experienced professional to provide administrative and financial support within a dynamic academic environment. In addition to administrative duties, the position plays a key role in financial operations, including budget monitoring, financial reporting, payment processing, and ensuring compliance with internal policies and accounting standards.

This position will report directly to the Research Management Manager, with a dotted line reporting to the Finance Manager. S/he will work closely with the Research Management Officers in charge of grant and operational management at the RMO and with the relevant Finance and Accounting Officers at the Finance and Accounting Department.

 KEY RESPONSIBILITIES

  1. Administration Support
  • Plan meetings and take detailed minutes.
  • Assist in writing and distributing email, official letters, correspondence memos, letters, and forms.
  • Assist in the preparation of routine reports.
  • Develop and maintain filing systems in accordance with VinUni’s regulations.
  • Update and maintain office policies and procedures.
  • Order office supplies and conduct market research to identify potential suppliers.
  • Maintain contact lists.
  • Coordinate and arrange logistics for travels, events, conferences, etc.
  • Provide general support to visitors.
  • Act as the point of contact where necessary.
  1. Finance and Accounting Support
  • Budget review and monitoring: Support in appraising the research project budget and overseeing budget execution to monitor and evaluate progress across research projects and centers where appropriate; Support in budget forecasting where appropriate.
  • Contract/agreement drafting and negotiation: Engage in drafting, reviewing and negotiating research contracts/agreements.
  • Financial Reporting and record keeping: Maintain accurate and organized financial records; Provide financial reporting for research projects; Monitor spending; Initiate or propose problem solving; Provide financial insights and recommendations to senior leadership for strategic decision-making.
  • Payment processing: Record transactions, Verify invoice accuracy, and Process payments to vendors.
  • Compliance: Ensuring adherence to finance and accounting standards, tax regulations, and internal policies; Identify financial risks and propose solutions as appropriate.

EDUCATION AND EXPERIENCE

  • Bachelor‘s degree in Finance, Accounting, Project Management, Business Administration or relevant fields from an accredited institution. MBA, Master of Accountancy, CPA or ACCA is preferred.
  • 3+ years of experience in administration and finance support.
  • Experience in a higher education setting is preferred.

KNOWLEDGE, SKILLS, AND ABILITIES

  • Advanced technical Microsoft Office skills with advanced Excel skills.
  • Experience with SAP or accounting software.
  • Excellent written and verbal communication skills in Vietnamese and English.
  • Ability to communicate complex ideas and recommendations effectively, both verbally and in writing.
  • Ability to work with faculty, staff, and students as well as community groups of diverse academics, socioeconomic, cultural, and ethnic backgrounds.
  • Rigorous and capable of high attention to detail over an extended period.
  • Follows up and completes with precision, conscientious and diligent.
  • Strives to achieve excellence and commit to the highest ethical standards and transparency

Salary: Competitive salary commensurate with experience
